    Get weight, dimensions, centre of gravity, and lift points first. This decides everything else i.e trailer type (flatbed/RGN/lowboy) or vessel type (RoRo/breakbulk/heavy-lift), plus which ports and routes can even take it.
  2. Prep, Pack & Secure
    Drain fluids, remove loose attachments, photograph condition before pickup. Wood crating needs ISPM 15 treatment for customs. Securement (chains, lashing) should be rated for the load for ocean heavy-lift, get an engineer or surveyor to sign off.
  3. Route, Permits & Timing
    Sort out oversize permits and escorts for every region crossed. The last stretch (bridges, turns, narrow roads) is usually harder than the main haul. Build in buffer time for seasonal weather and known delays.
  4. Vet Your Carrier & Handle Customs
    Check DOT/MC number or FIATA membership, get multiple quotes, and confirm they actually own the equipment (not just brokering it). Nail down HS codes and duty treatment early as cargo stuck under bond racks up costly demurrage fast.
  5. Insurance & Surveys
    Standard carrier liability is too low for heavy equipment. Get standalone all-risk cargo insurance. Have an independent surveyor inspect and document the cargo before shipping and again at delivery; this is your proof if something goes wrong.
  6. Site Readiness & Delivery
    The job isn’t done at the port. Confirm the site can handle the machine (pad strength, access roads, crane space) before it arrives. Bundle crane/rigging into the original contract, not a separate scramble later.
  7. Inspect & Claim
    Check against your pre-shipment photos, note any damage on the delivery paperwork before signing, and file claims fast as windows are often just 24–48 hours.
